The problem
Sports clubs run on spreadsheets, group chats and goodwill. Coaches, team managers, physios, players and parents all need different things from the club, and junior players need real safeguarding: who can see a child’s details, who can message them, and what happens when a date of birth is unknown.
What we did
We started with the people. Personas for every type of user, step-by-step maps of a full club season, and a year-in-the-life view of who does what, and when. We designed fifteen-plus roles and permission sets up front, and decided the hard rules with the client in the loop, recording each one as a numbered decision (for example, how a player is treated when no date of birth is given). Safety is enforced through explicit rules, automated tests and legal-review gates before any real juniors are onboarded.
What we built
Members and players, guardian links for under-18s, team lists, events and availability, depth charts, team chat with age-appropriate rules, strength and conditioning, and role-based access for coaches, managers, physios and more. Every release passes a hosted quality gate of more than 300 automated checks, backed by well over a thousand database tests.
What we learned
Safety rules belong in the product, not in a policy document: written down, tested and checked on every release. Designing roles and permissions up front, from the personas, meant new features slotted in without reworking who can see what.
